Overview

This position provides support to the entire Human Resources Management team consisting of the Managing Director, Director of HR, the Compensation and Benefits Specialist and the Volunteer and Intern Manager. 

Responsibilities

  • Welcomes and receives outside visitors.
  • Manages the calendar and schedules meetings and appointments for the HR and VR departments, coordinating office efficiency
  • Answers telephone, takes messages, responds to routine inquiries or requests
  • Open, sort and distribute incoming correspondence.
  • Assists the Human Resources Systems Administrator with the organization of files and records in the department.
  • Prepares, tracks and receives invoices and any billing statements using the Web purchasing/Web invoicing online system. 
  • Maintains vendor files, review and reconcile monthly charges.
  • Serves as administrative assistant to the VR and HR department.
  • Prepares the New Hire Orientation program as well as processing paperwork for New Hires.
  • Creates photos for I.D. badges, as well as allocating uniforms and parking hangtags.
  • Receives copies, distributes and files incoming documents.
  • Orders and maintains office supplies for the department.
  • Generates reports with the collaboration of the Volunteer and Intern Manager utilizing the Volunteer Vsys software program.
  • Performs other duties as assigned, in order to support the SLSC Human Resources department.

Qualifications

  • Demonstrates strong organizational and communication skills.
  • Must be service, goal and detail oriented.
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation.
  • Ability to operate most standard office equipment.
  • Attention to detail in composing, typing and proofing materials, establishing priorities, and meeting deadlines is essential.
  • Excellent telephone and oral communication skills.
  • Must have excellent computer skills related to Microsoft Office programs.
  • Experience with applicant tracking sisystems, such as iCims preferred.
  • Experience with Volunteer database software, such as Vsys by Broadband a plus.
  • Must possess exemplary interpersonal skills and be able to interact with staff and management at all levels.
  • Possess exceptional understanding of office methods, procedures and practices.
  • Ability to maintain records and files; ability to screen incoming telephone calls and visitors, and maintain confidential files.

EDUCATION and/or EXPERIENCE

3-5 years of experience working with confidential information in similar office environment required.

This position should possess the ability to be a self-starter and have a strong skills in Communications, Relationship Management and Ethical Practices.

 

WORK ENVIRONMENT

This position operates in a professional office environment using standard office equipment.
