    The Membership Services Coordinator is responsible for delivering high quality service to our most important constituency, Saint Louis Science Center Members. This means providing Members excellent assistance, timely solutions, and knowledgeable information about the Science Center’s unique science learning experiences that include our galleries, programs, events, OMNIMAX® films and special exhibitions. As a part of the Institutional Advancement department, the Membership Services Coordinator will support the team by building and maintaining Member relationships and connecting them to our mission to ‘ignite and sustain lifelong science and technology learning.’

     

    The operational function of the Membership Services Coordinator is supporting the Director of Advancement Services by maintaining accurate database information. Daily operations will include processing payment transactions, assessing data integrity, and organizing priorities to enhance accuracy and efficiency as the volume of memberships purchased and renewed fluctuates.    

    Responsibilities

    • Maintain accurate database records through timely and efficient entry of biographic and demographic data, address verification, and identification of data discrepancies and inaccuracies.
    • Process online membership transactions, credit card transactions and lockbox batches.
    • Processes and tracks all Smithsonian Affiliate Memberships.
    • Manage the printing of all Member cards and letters for mail fulfillment on a weekly basis.
    • Verify and maintain accurate matching gift records with emphasis on timely processing.
    •  Provide additional data entry and clerical support as necessary to ensure efficient department operations.
    • Serves as the primary support for the Membership Services telephone line and email account.
    • Check voicemail daily and respond to member inquiries via telephone, mail, and email in a timely fashion.
    • Review feedback received from callers and makes appropriate recommendations for changes to membership initiatives, policies and program offerings.
    • Assist and help oversee on-site membership sales and membership services as needed.
    • Prepare reports to assist in analyzing the success of membership renewal efforts, and membership sales and promotions.
    • Prepare lists and counts for mailing projects, newsletters, invitations, eBlasts, and membership renewals.
    • Coordinate monthly renewal mailings with vendors.
    • Coordinate monthly email lists with Marketing.
    • Coordinate newScience mailing list with vendors.
    • Contribute to the content and production process of newScience where needed.
    • Serves as the primary liaison for donation requests on the Science Center’s behalf. Collates, organizes and fulfills donation requests using established parameters to guide decision making.
    • Helps ensure Membership material including letters, promotional items, emails, and web content is current.
    • Assists with Member events and attends events.
    • Attends and supports IA events as needed.
    • Maintains current knowledge of all Science Center films, exhibitions, and programs to clearly articulate membership benefits to current and prospective Members to ensure renewals and new sales.
    • Performs other duties as assigned by the Director or other department heads within Institutional Advancement.

    Qualifications

    • Knowledge of word processing software; spreadsheet software; database software - Raiser’s Edge experience highly desirable
    • Experience working with vendors
    • Previous experience providing excellent customer service
    • Must be able to process and synthesize large amounts of information quickly
    • Proven ability to handle customer calls with professionalism
    • Must be highly organized, detail oriented, outgoing and enthusiastic
    • Ability to function in a fast-paced and results-oriented business environment
    • Multi-tasking and critical thinking skills are required
    • Must be available to work varied hours, including weekends, evenings, and holidays.

    EDUCATION:

    Some college required, BA or BS preferred.
